WhatsApp auto reply for Singapore businesses: four options, and when each is enough

Personal WhatsApp has no auto reply, so a Singapore business sets one up in one of four ways: away and greeting messages in the free WhatsApp Business app, quick replies your staff send with a shortcut, a rule-based chatbot on the WhatsApp Business Platform, or an AI agent that understands free text and answers from your own information. The first two take minutes and cost nothing. The last two usually run on the Business Platform, which brings Meta's 24-hour rule, approved templates and per-message charges.

Can you set an auto reply on WhatsApp?

Yes, but not in the personal WhatsApp app. Automatic messages live in the WhatsApp Business app, the free app WhatsApp describes as having tools to automate, sort and quickly respond to messages, and on the WhatsApp Business Platform, the API that chatbots and AI agents use through Meta directly or through a provider.

Meta's charges are set out in its Business Platform pricing: since 1 July 2025 Meta charges per delivered template message, by category and the recipient's country, and since 1 October 2026 replies inside the customer service window are charged too, after 1,000 free a month per business number. Provider fees vary; our WhatsApp Business API pricing guide for Singapore works through the numbers.

How do I set up an automatic reply in WhatsApp Business?

Use an away message. WhatsApp's help centre article How to use away messages gives these steps for Android; the iPhone version may label menus differently:

  1. Open the WhatsApp Business app and go to the Tools tab.
  2. Tap Away message and turn on Send away message.
  3. Edit the message.
  4. Choose a schedule: Always send, a Custom schedule, or Outside of business hours. The last option appears only once you have entered business hours in your business profile.
  5. Choose recipients: everyone, everyone not in your address book, or everyone except the contacts you pick.
  6. Save.

Away messages go out only while the phone has an internet connection. A useful one says when you will reply and what to do if it is urgent, for example: "Thanks for your message. We're closed now and will reply from 9am on Monday. For urgent repairs, call our hotline on the website."

Greeting messages sit beside away messages in the same business tools and send an automatic welcome when someone writes to you for the first time, or again after a long gap; third-party guides put that gap at 14 days, which we could not confirm on WhatsApp's own help centre, so check the description in your app. Use it to say what you can help with and when you reply.

How to set up quick replies on WhatsApp

Quick replies are saved answers a person sends with a shortcut; they are not automatic. Per WhatsApp's How to use quick replies:

  1. In the Tools tab, tap Quick replies and add one.
  2. Write the message, assign a keyboard shortcut, and save.
  3. In a chat, type / to see your quick replies, pick one, and edit it before sending.

You can store up to 50. Default replies are generated from your business profile, so a complete profile gives you your hours and address for free. Media is not supported in quick replies on Web or Desktop, and a deleted quick reply cannot be recovered, so keep copies elsewhere.

What about auto-reply apps for personal WhatsApp?

Android apps such as AutoResponder for WA, found on Google Play, work by reading the phone's notifications and replying through them, matched to keywords you set. They do not connect to WhatsApp itself, and AutoResponder's listing says it is not affiliated with WhatsApp. For a hobby or a personal phone that can be fine. For a business, weigh three things: the app is granted access to every notification on the phone, including your customers' messages and other apps' alerts; WhatsApp's terms set limits on using the service through automated means, and the routes WhatsApp itself provides for automation are the Business app and the Business Platform; and the replies come from one person's phone, which stops when that phone does.

How keyword chatbots work on the Business Platform

A rule-based chatbot connects your number to the WhatsApp Business Platform, either with your own Meta app or through a provider such as Twilio or SleekFlow. Each incoming message reaches software that matches a keyword or a tapped option and answers with a prepared message. The platform supports structured replies the app cannot send: reply buttons with up to three options, list messages, and WhatsApp Flows for forms such as bookings and lead capture.

Two platform rules shape every bot. When a customer messages you, a 24-hour customer service window opens, and inside it you can send any free-form reply; once it closes, only templates Meta has approved in advance can be sent. And you may only message people who have opted in to hearing from you. A keyword bot works well while customers stay on the menu; the moment someone types "my aircon leaks when the compressor starts", it either guesses or dead-ends, which is why every bot needs a clear way to reach a person.

When an AI agent is worth it

An AI agent reads a free-text message, answers from your price lists, policies and live systems, asks the follow-up a good receptionist would, and hands anything sensitive to your team. It costs more than a menu, and is only as good as the information and approval rules behind it. It earns its place when enquiries vary, arrive after hours, come in several languages, or turn into revenue if answered before a competitor does.

Meta offers its own option here: Meta Business Agent, which Meta announced as available globally on 3 June 2026, runs inside the WhatsApp Business app with no developer setup. For a sole trader who wants AI answers in the app they already use and nothing to build, that is a sensible first try. Access and pricing have been changing, so check what your app offers. A deployed agent makes more sense when answers depend on your own systems, several people share the work, or you need approvals and a record of what was said.

Which option is enough for you?

If this describes youStart with
A handful of messages a day, mostly answered by you next morningAn away message outside business hours, and a greeting
Staff typing the same ten answers all dayQuick replies, plus a complete business profile
Most requests are a choice from a short list: order status, branch hours, booking slotsA rule-based chatbot with a "talk to a person" option
Questions vary, answers live in documents and systems, and after-hours enquiries go to competitorsAn AI agent with human approval for anything sensitive

Most businesses move down this table over time. If after-hours leads are the real leak, see missed lead recovery.

Auto replies and the PDPA

A reply to someone who wrote to you is not, by itself, a marketing message, but the PDPA still applies to the personal data in those chats: collect what you need for the purpose, protect it, and do not keep it forever. Promotion is where the extra rules start. The PDPC states that the Do Not Call rules apply to marketing messages sent to Singapore numbers "even on WhatsApp and Telegram", so an auto reply that slips in a promotion, or a broadcast to old enquirers, needs the DNC checks and consent records. Our PDPA guide for AI agents covers the obligations and the questions to ask any vendor. This is general information, not legal advice.

Common mistakes

  • An away message that promises a reply time nobody meets. "We'll get back to you within the hour" at 10pm on a Friday teaches customers to ignore you. Promise what the team actually does.
  • Auto-replying to everyone, including suppliers and family. Set recipients to everyone not in your address book, or exclude contacts, so the people you deal with daily do not get automatic welcomes.
  • No human handover. A bot or agent with no way to reach a person traps exactly the customers you most want to keep. Say how to reach someone, and make sure someone sees it.
  • Prices and stock in fixed text. Quick replies and bot answers go stale; anything that changes weekly should come from the source, or not be stated.
  • Forgetting the 24-hour window. A follow-up scheduled for two days later is not delivered as an ordinary message on the Business Platform; it needs an approved template. We cover this in how to schedule a WhatsApp message.

How Olano helps

When an AI agent is the right answer, Olano Studio builds and runs it on your number, with the controls a customer-facing channel needs:

  • Three ways to connect WhatsApp. QR pairing, like WhatsApp Web, for your own number and small-scale use, where group chats work too; and the Twilio Business API and Meta Cloud API connectors for customer-facing traffic, with no QR code and no phone session to keep alive. The business connectors are one-to-one only.
  • The 24-hour window handled honestly. Outside the window the agent sends a template WhatsApp has approved, filling in its placeholders; it refuses an ordinary message that would be silently discarded rather than reporting a send that never arrived.
  • Answers from your knowledge base, the price lists, policies and manuals you add, rather than generic AI guesses.
  • Per-user isolated memory. In multi-user mode each customer's history and preferences are kept apart, and erasable on request.
  • Human approval for anything sensitive. A customer can never approve their own risky request: it waits in your team's Approvals list, and owners can be asked in the chat with a YES/NO code.
  • Message policy for public agents. Cap how long an inbound message may be, drop spam by pattern before any AI model runs, add plain-language rules for messages to ignore, and cap reply length.

The limits are WhatsApp's: business templates need Meta's approval, usually within a day, and Meta bills each template it delivers. You can message our live demo agent on WhatsApp to judge the tone and speed first-hand. The full workflow is in WhatsApp AI customer service and the Singapore WhatsApp AI guide, and our services explain how an engagement runs.

FAQ

Can you set an auto reply on WhatsApp?

Yes, but not in the personal WhatsApp app. The free WhatsApp Business app has away messages, greeting messages and quick replies. To answer questions rather than send a fixed message, you need a chatbot or an AI agent, usually on the WhatsApp Business Platform.

Is auto reply available in WhatsApp?

In WhatsApp Business, yes: away messages that send always, on a custom schedule or outside business hours, and greeting messages for new conversations. The personal WhatsApp app has no built-in auto reply.

How do I set up an automatic reply?

In the WhatsApp Business app, open the Tools tab, tap Away message, turn on Send away message, edit the text, choose a schedule such as Outside of business hours, choose recipients and save. The business hours option needs hours in your business profile, and the phone must be online for the message to send.

How do I set up quick replies on WhatsApp?

In the WhatsApp Business app, open Tools, then Quick replies, add a message with a keyboard shortcut and save. In any chat, type / to pick one and edit it before sending. You can store up to 50, and default replies are generated from your business profile.

Can a WhatsApp auto reply answer customers' questions?

Away and greeting messages send the same text whatever was asked. Answering questions needs a chatbot, which handles buttons and keywords, or an AI agent, which reads free text and answers from your own information. Both usually run on the WhatsApp Business Platform; Meta's own Business Agent works inside the Business app where it is offered.

Does WhatsApp charge for automatic replies?

The WhatsApp Business app is free. On the Business Platform, Meta charges for each template message it delivers, by category and country, and since 1 October 2026 also for replies sent within 24 hours of the customer's last message, after the first 1,000 a month per business number. Providers add their own fees.
